Are These IT Problems Slowing Down Your Practice?
Most dental offices we assess have at least a few of these issues:
- The schedule stops when the server does. One failing server or network switch can take down every operatory.
- Imaging software that won’t cooperate. Sensors, CBCT and scanners stop talking to the practice management system after an update.
- Outdated computers left exposed. Sensor software that needs an old version of Windows is left unprotected on the same network as patient records.
- Backups nobody has tested. A backup is only useful if it can be restored quickly.
- Unclear HIPAA readiness. No recent risk analysis, missing business associate agreements (BAAs) or no written security policies.
- Shared logins and weak passwords. Several staff use one account, so there’s no record of who accessed what.
- Staff who haven’t had phishing training. One click on a fake email can lock up the whole practice.
- No plan for a ransomware attack. When something goes wrong, nobody knows who to call or what to do first.
NVITS fixes these problems and puts systems in place to stop them from coming back.
Managed IT Services for Dental Practices
With NVITS, you get a complete IT department for one predictable monthly fee. Our managed IT services for dental practices include:
24/7 Help Desk Support
Your front desk, hygienists and doctors can reach a U.S.-based technician any time by phone, email or chat. Most issues are fixed remotely in minutes. Critical issues, such as a system outage or a security incident, get a response within 15 minutes.
On-Site Support in Reno and Northern Nevada
When a problem needs hands-on help, a local NVITS technician comes to your office, typically within 1–2 hours in the Reno area.
Proactive Monitoring and Maintenance
We monitor your servers, workstations and network around the clock, applying updates and fixing issues before they interrupt patient care.
Network, Wi-Fi and Firewall Management
Fast, secure networks for operatories, the front desk and guest Wi-Fi, kept separate so patients never share a network with your records. Learn more about our managed firewall services.
Backup and Disaster Recovery
Encrypted, tested backups of your practice management database and imaging files, with options from Datto and Veeam, so you can recover quickly from hardware failure, ransomware or a disaster.
Microsoft 365 and Email
Secure email, Teams and file sharing, with encryption for sending patient information. See our Microsoft 365 services.
Phones and Communications
Managed VoIP phone systems that work with your scheduling workflow and support remote front desk staff.
Vendor Coordination
We work directly with your practice management, imaging, phone and equipment vendors, so your team doesn’t have to sit on hold.
IT Planning and Budgeting
Technology roadmaps, hardware refresh schedules and budgets, with vCIO and vCISO guidance for growing practices.
Dental Software and Imaging We Support
Our team supports the systems dental practices use every day.
Practice management software:
- Dentrix
- Eaglesoft
- Open Dental
- Fuse
- Curve Dental
- Denticon
- CareStack
Imaging and clinical technology:
- Dexis imaging software and digital X-ray sensors
- Imaging integration with your practice management software
- Operatory workstations and chairside monitors
Old software that needs an outdated version of Windows? It’s a common problem. We isolate those computers on their own protected network segment, lock down access and monitor them closely, so your imaging keeps working without putting patient data at risk.
HIPAA-Compliant IT for Dental Offices
Every dental practice that bills insurance electronically must protect patient information under HIPAA. NVITS builds HIPAA safeguards into your IT:
- Security risk analysis: A documented review of where patient data lives and how it’s protected, which HIPAA requires
- Business associate agreement (BAA): We sign a BAA as your IT provider
- Unique logins and multi-factor authentication: Every staff member has their own account, with MFA to stop stolen passwords
- Encryption: Patient data encrypted on laptops, servers, backups and in email
- Access controls and audit logs: A record of who accessed patient information and when
- Policies and documentation: Written security policies ready for an audit
- Staff training: Security awareness training with ongoing phishing tests built around dental office workflows

Nevada Data Security Law: What Dental Practices Need to Know
HIPAA isn’t the only rule Nevada dental practices follow. Nevada’s data security law, NRS 603A, adds its own requirements:
- Accepting card payments? Under NRS 603A.215, businesses in Nevada that accept payment cards must comply with the current PCI Data Security Standard.
- Encryption requirements: Businesses not covered by the PCI rule must encrypt personal information they send electronically outside their secure system, and any storage device that leaves their control, such as a laptop or backup drive.
- Liability protection: The same law says a business that complies is not liable for damages from a breach, unless the breach was caused by gross negligence or intentional misconduct.
This isn’t hypothetical. In 2025, Las Vegas-based Absolute Dental, which has more than 50 locations across Nevada, discovered that an unauthorized party had accessed its systems between February 19 and March 5. The breach affected more than 1.2 million people and led to a $3.3 million class-action settlement (Becker’s Dental + DSO Review).
NVITS helps Reno practices put the encryption, payment security and documentation in place to meet both HIPAA and Nevada requirements. Also see our article on Nevada’s SB 370 consumer health data law.
